Can you post a list of offices we are to interview?
In each office, can you specify a point of contact to arrange the interviews?

Once we have this information, we will divide the offices and schedule the interviews.

I would like to work with Public Works and Police.

Time: 5:30 p.m.

Present: Andy Swanson, Town Manager Russ Dean, Chris Suprock, Dave Briden, Rod Danielson, Darius Thompson.

The May 20, 2010 minutes were approved. Motion by Suprock second by Danielson, vote is 3-0 in favor.

The Town Manager handed out various Munismart reports that show what the Town spends on IT. There is an IT budget, but also other things like software and hardware agreements and outlays in departments. The library budget is also separate.

The group discussed its next steps to craft a technology plan. It was agreed that all departments should be approached and asked questions about what they see as their needs and how they use technology. This will give the committee an idea of what is out there.

The Town Manager suggested there is an internal component of the tech plan with Departments and an external component with the residents and what they want.

The group formulated some basic questions for each department: 1. What do department heads think the public wants; 2. What do departments have data wise that they believe are in jeopardy of losing, including people – brain drain; 3. What works well in the department and what would work better? 4. What are the current information resources in the department. 5. Survey outside departments.

It was agreed critical dates would be needed. Selectmen’s budget hearings, CIP, etc. for the group to understand when their task would need to be completed. The group asked for information on leases, contracts, whether things would be auto renewed or termed, etc.

Hi Russ,

I think it is very feasible to have a report completed before September. Andy created a forum so that we can publicly discuss topics without the need to call a meeting. From this point on, we should use the forum for public communication. This should accelerate the pace since we're not limited to sharing info at a scheduled meeting.

The first thing we need is the list of questions for the interview process. Could you please post them to the forum?

The second thing is a list of departments/offices. From this list we can each choose 2-3 each and then independently schedule interview times. We should try to interview a minimum of 2 people at every office, the manager and workers.

Once the interviews are completed each of us will write a brief summary of our findings and I will merge the summaries into a report.
